Privacy policy
What personal information we collect, why we collect it, who sees it, how long we keep it and what rights you have.
Effective from 18 October 2026. Version 1.0.
1. Who we are
1.1 Canine Safaris Ltd (“we”, “us”), a tour operator based in Mbarara, Uganda, is responsible for the personal information described in this policy. We handle it in line with the Data Protection and Privacy Act, 2019 and its regulations.
1.2 We are registered with the Personal Data Protection Office of Uganda (registration number PDPO-202503-4337).
1.3 You can contact us about your personal information at caninesafarisltd@gmail.com or on +256 700 226975.
2. What we collect
2.1 When you use the contact, enquiry, quote or newsletter forms, we collect what you type: your name, email address, telephone number, trip details such as dates, group size, interests and budget, and your message. For the newsletter we also record that you agreed to receive it.
2.2 When you make a booking, we also collect what is needed to arrange it: for each traveller, the name as shown on the passport, date of birth, nationality, passport or identity details for permits, and any medical, dietary or accessibility needs you tell us about.
2.3 When you pay us, we keep a record of the payment, such as the amount, date and reference. This website does not take payments or card details.
2.4 If you contact us by telephone, email or WhatsApp, we keep the messages. Those services handle your information under their own policies.
2.5 Our website servers record technical information, such as your IP address and the pages you visit, for security and to keep the site running.
3. Why we use it
3.1 We use your information to reply to you, prepare quotes and plans, make and manage bookings, obtain permits and accommodation, take payment, keep you safe on trips, handle complaints, send you the newsletter if you asked for it, and meet our legal duties.
3.2 We rely on your consent where you give it, on the need to carry out a contract with you or to act at your request before a contract, on our legal duties, and on our legitimate interest in running and securing our business, as the law permits. You may withdraw consent at any time.
3.3 We do not sell your information, and we do not use it to make automated decisions about you.
4. Who we share it with
4.1 We share information only as far as is needed to deliver what you asked for. This includes lodges, transport and activity providers, the Uganda Wildlife Authority and other authorities that need traveller details for permits and entry, our drivers and guides, and professional advisers, and, at your request, your own travel insurer.
4.2 We also use service providers that run our website and communications: Vercel hosts the website, Cloudinary delivers the images, an email delivery service sends our emails, and Google Maps provides the map on our contact page. They handle information only for us and for these purposes.
4.3 We may disclose information when the law, a court or a regulator requires it.
5. Transfers outside Uganda
5.1 Some of the services in clause 4.2, and some suppliers, are outside Uganda, so your information may be processed in other countries. We use providers that apply appropriate safeguards, and we share only what is needed.
6. How long we keep it
6.1 Enquiries and quotes that do not lead to a booking: for up to two years after our last contact with you.
6.2 Bookings, payments and related records: for the period that Ugandan tax and accounting laws require.
6.3 Newsletter subscribers: until you unsubscribe.
6.4 After that we delete the information or make it anonymous. We may keep it longer where the law requires or where it is needed for a legal claim.
7. How we protect it
7.1 We use reasonable technical and organisational measures to protect personal information, including encrypted connections to this website, access limited to the people who need it, and secure storage. No system is completely secure. If a breach affects your information in a way that could harm you, we will tell you and the authorities as the law requires.
8. Cookies and similar storage
8.1 This website stores one preference in your browser, your chosen display currency. It does not set tracking or advertising cookies.
8.2 The map on our contact page is provided by Google Maps and loads when you scroll to it. Google may set cookies when it does, under its own policy.
9. Your rights
9.1 Under the Data Protection and Privacy Act, 2019, you have the right to be told how your information is used, to ask for a copy of the information we hold about you, to ask us to correct it, to ask us to delete it where the law allows, to object to its use, and to withdraw your consent.
9.2 To use any of these rights, please write to us at caninesafarisltd@gmail.com. We will reply within 30 days and may ask you to prove who you are.
9.3 If you are not satisfied with our reply, you may complain to the Personal Data Protection Office of Uganda.
10. Children
10.1 Our forms are meant for adults. We collect information about children only to arrange a trip, and only from a parent or guardian, who must agree to us holding it.
11. Changes to this policy
11.1 We may update this policy. The latest version is always on this page, with its effective date at the top.
